When a practice moves to FrontDesk, every client who paid by autopay has to add their card again. The AutoPay clients tab is where you track that: who is enrolled, who has a card, and who still needs to be asked.
Open Settings → Billing → AutoPay clients (or the AutoPay clients shortcut on the Payments page).
Read the list
The counts at the top show Clients, Enrolled, Enrolled, need a card and Card on file. Below them, filter by All clients, Enrolled, Needs a card, Not enrolled or Card on file, and search by name.
Each client shows:
| Column | What it says |
|---|---|
| AutoPay | A switch: enrolled or not. |
| Default card | The brand, last four digits and expiry, with Last charge declined after a decline. Needs a card when they are enrolled without one. |
| Card request | Not asked, Asked Oct 7 (with how many times, and whether the email and text went), Link expired, or Added Oct 8 once they saved a card from the link. |
Enroll clients
- One at a time: flip the client's AutoPay switch.
- Several at once: tick them, then Enroll or Remove from AutoPay.
- From SimplePractice: see below.
A client can be enrolled before they have a card. They show as Needs a card, and nothing is charged until a card is saved. When the location charges nightly or on completion, only enrolled clients with a card are charged.
Import your SimplePractice AutoPay list
- Export the clients on AutoPay from SimplePractice as a CSV with a Client (or Name) column, one client per row.
- Click Import AutoPay list, choose the file, and click Preview.
- Each row shows the FrontDesk client it matched (Matched), lets you Pick the client when several share the name, or says No client found (import the client first, then preview again).
- Click Enroll to enroll the matched clients.
Add an AutoPay (or Enrolled) column with Yes or No to include clients who aren't on AutoPay; without it, everyone in the file is enrolled. Import your clients first with Import from SimplePractice.
Ask clients to add a card
Click Ask for cards and choose:
- Everyone enrolled who needs a card, or
- Selected clients (the ones you ticked).
Pick Email and text, Email only or Text only, and click Send. Each client gets a secure link to add their card, with no sign-in. After sending, a message says how many were asked, how many texts wait for the morning (texts go out between 8am and 9pm in the client's time), how many were skipped and how many couldn't be reached.
Clients who already have a card, or were asked in the last 3 days, are skipped, so it is safe to send to everyone again a few days later. A client marked do not contact, or who hasn't allowed texts or email, isn't sent that way.
To ask one client, tick them and choose Ask for cards → Selected clients.
What the client sees
They get an email, "Please add your card for [your practice]", and, if you chose text, a text saying you've moved to a new billing system with the link. The link opens a page with your practice name, a Stripe card form and a checkbox:
I authorize [your practice] to keep this card on file and charge it for my open invoices, each night, and for balances I owe.
(When the location charges on completion, it reads "each visit once it is completed" instead.) After Save my card, the page says You're all set with the card's brand and last four digits.
Saving the card turns autopay on for that client and records their consent. The link works for 30 days; asking again keeps the same link working for another 30 days. The card number goes to Stripe only.
Good to know
- A view-only member sees the list but can't change anyone's AutoPay or send links.
- Every enrollment change and every card saved shows in Settings → Account Activity.
- The add-card link is the client's own. The page shows only your practice name, the client's first name and, once a card is saved, its brand and last four digits. Whoever opens it can only add a card for that client.
