Move your billing from SimplePractice

Do these in order, after your clients are imported. 1) Connect Stripe for each location (Settings → Billing → Payment methods). 2) Under Superbills & numbering, set the next invoice and superbill numbers so they carry on from SimplePractice, and check the places of service. 3) Check Filing info (Payments → ⋯ → Filing info) for your NPI, Tax ID and address. 4) On cutover day, after SimplePractice has invoiced every visit, export its Outstanding balances report and import it with Payments → ⋯ → Import balances from SimplePractice. 5) Import your SimplePractice AutoPay list under Settings → Billing → AutoPay clients. 6) Ask everyone enrolled to add their card with Ask for cards; cards can't be moved from SimplePractice. 7) Turn on Autopay (Nightly, for open invoices) and Daily invoicing for each location. From then on, each night every visit is invoiced and clients with a card are charged.

Once your clients are in FrontDesk (Import from SimplePractice), move your billing over in this order. Steps 1 to 3 can be done any time; steps 4 to 7 are for cutover day, when you stop billing in SimplePractice.

Before cutover

1. Connect Stripe

Settings → Billing → Payment methods: connect each location with Stripe and wait for Taking payments. See Set up payments. Card rates, your payout schedule and the statement descriptor clients see are on the Online payments card on the same tab.

2. Carry on your numbering

On the same tab, Superbills & numbering, for each location:

  • Next invoice number from: your last SimplePractice invoice number plus one (for example 22354 after INV #22353).
  • Next superbill number from: your last superbill number plus one.
  • In-person place of service and Telehealth place of service: what prints on superbills (11 Office and 02 Telehealth unless you change them; 10 is telehealth in the client's home).

3. Check your filing info

Payments → ⋯ → Filing info shows the practice name and contact, NPI, Tax ID, the location's address and places of service. Fix anything marked Not set before your first superbill goes out. See Create and send superbills.

On cutover day

4. Bring balances over

  1. In SimplePractice, make sure every visit is invoiced. Its balance report leaves out services not yet invoiced.
  2. Export Analytics → Reports → Outstanding balances as CSV, with With Balance turned off under More so clients holding credit are included.
  3. In FrontDesk, Payments → ⋯ → Import balances from SimplePractice. Set the Cutover day, and leave Put each balance on an invoice ticked so nightly autopay collects them.
  4. Check the totals against SimplePractice, pick the client for any name shared by several, and import.

Each balance becomes one amount owed, dated the cutover day, and each credit becomes credit on account. Carried-over amounts aren't counted as production or collections in your reports. Each client is carried over once.

5. Enroll your AutoPay clients

Settings → Billing → AutoPay clients → Import AutoPay list: upload SimplePractice's list of clients on AutoPay, check the matches, and click Enroll. They show as Needs a card until they add one. See AutoPay clients and add-card links.

6. Ask for cards

On the same tab, Ask for cards → Everyone enrolled who needs a card, by Email and text. Each client gets a secure link to add their card in about a minute; saving it turns autopay on. Send again a few days later: anyone asked in the last 3 days, or who has added a card, is skipped. Watch the Card request column and the Needs a card count go down.

7. Turn on autopay and daily invoicing

Settings → Billing → Payment methods → Autopay & invoicing, for each location:

  1. Switch Autopay on and choose Nightly, for open invoices (the default).
  2. Switch Daily invoicing on.

Then turn AutoPay off in SimplePractice so no client is charged twice.

From then on

Each night between midnight and 6am, FrontDesk invoices every client's visits from the day before and charges clients with a card for their open invoices, including the balances you carried over. Declines are reported to you and the client, and retried the next night. See Card on file and autopay.

Day to day:

  • Payments → Overview shows what is owed, what isn't invoiced or is missing a fee, and AutoPay clients still without a card.
  • Payments → Appointments lists visits by date of service with the next step on each.
  • Payments → Payment processing shows each card charge with FrontDesk's fee and the net, and your payouts.

Frequently asked questions

When should I stop billing in SimplePractice?
Pick a cutover day. Until then, keep billing and charging AutoPay in SimplePractice. On that day, make sure SimplePractice has invoiced every visit (its balance report leaves out uninvoiced services), export the Outstanding balances report, import it into FrontDesk, and turn on autopay and daily invoicing here. Visits from the cutover day on are billed in FrontDesk.
Can I move the saved cards?
No. Card numbers stay with SimplePractice's card processor and can't be exported. Import your AutoPay list to enroll the same clients, then use Ask for cards on the AutoPay clients tab to text and email each of them a secure link to add their card. It takes them about a minute.
Will my invoice numbers start over?
Not if you set them. Under Settings → Billing → Payment methods → Superbills & numbering, enter the next invoice number (your last SimplePractice invoice number plus one) and the next superbill number. New ones count up from there and a number is never reused.
Should autopay charge nightly or when a visit is completed?
Nightly, for open invoices works the way SimplePractice AutoPay does: each night visits are invoiced (with Daily invoicing on) and open invoices are charged. Imported balances can go on invoices too, so they are collected the same way. Choose When a visit is completed if you would rather charge each visit as soon as it ends.
What about clients who owe money from SimplePractice?
The balance import brings each client's balance over as one amount dated your cutover day, and each credit as credit on account. Leave Put each balance on an invoice ticked so nightly autopay collects them from clients with a card on file.
