Client Portal & Telehealth
What clients can do in their portal, secure messaging, and video visits.
- Set up the client portalThe client portal is on by default under Settings → Client Portal. From that page you copy the portal address (or set a custom one), decide whether clients can cancel and reschedule online, book from the portal, and use secure messaging, write a welcome greeting, set your logo and colour, and switch each portal area on or off. Clients get in through a Grant portal access link from their profile, then sign in with an emailed six-digit code. Everything on the page is per location.2 min
- What clients can do in the portalThe client portal is a private site where your clients sign in with an emailed code, no password. Home shows their next visit and a to-do list of forms, questionnaires, and documents to sign before it. They can cancel or move visits within your policy, book new ones, read and send secure messages, complete intake forms and outcome measures, sign treatment plans and releases, download superbills and a copy of their record, see who their records were shared with, pay a balance or a payment-plan installment, and keep a card on file. Each part can be switched off under Settings → Client portal.3 min
- Secure messaging with clientsSecure messages are written in the Inbox like a text but delivered inside the client portal, so clinical content never travels over SMS. The client gets a text and an email saying a message is waiting — never the content — and reads and replies after signing in. Texts and secure messages share one conversation, each message is tagged with its channel, and the thread shows when the client read your message. A secure message needs a client with an email on file, and it is never re-sent as a text.2 min
- Run a video visit (telehealth)Telehealth is built into the schedule. Turn on the Video visit switch when you book, and each client gets a private link in their reminders. They join in the browser with no app or password, enter their name, and wait until you admit them. In the call you have mute, camera, chat, screen share, a whiteboard, backgrounds, raise hand, and an emergency-info panel. Ending the visit marks the appointment completed and records attendance. Sessions are encrypted end to end and never recorded. Telehealth is on Pro plans and above and is metered in participant-minutes.4 min
- Telehealth settings and minutesSettings → Telehealth holds the practice switch and the defaults for every video visit — the join window (30 minutes before by default), the waiting-room message, the consent line clients agree to, whether clients may use chat, screen share, the whiteboard, and backgrounds, whether to ask for their location, and whether reminders carry the link. Telehealth is on Pro and above and metered in participant-minutes (Pro 1,500 a month with $0.08 per extra minute, Elite 6,000 with $0.02, Enterprise custom, trials 120). A visit is never cut off.3 min
