Telehealth settings and minutes

Settings → Telehealth holds the practice switch and the defaults for every video visit — the join window (30 minutes before by default), the waiting-room message, the consent line clients agree to, whether clients may use chat, screen share, the whiteboard, and backgrounds, whether to ask for their location, and whether reminders carry the link. Telehealth is on Pro and above and metered in participant-minutes (Pro 1,500 a month with $0.08 per extra minute, Elite 6,000 with $0.02, Enterprise custom, trials 120). A visit is never cut off.

Settings → Telehealth (under Communication) is where you switch video visits on for a location and set the defaults every visit starts from. Hosts can also adjust a few personal preferences from the settings gear inside a call.

Turn it on

Switch on Video visits and click Save changes. The switch is per location. If the page shows an upgrade banner instead, your plan does not include telehealth yet; your settings are kept and apply as soon as it does. See Upgrade or downgrade your plan.

Two other settings matter before the first visit:

  • Settings → Services → Delivery = Virtual on the services you run remotely, so the Video visit switch defaults on when they are booked. Services that groups use should also be marked Available for group sessions.
  • Settings → Email with a verified sender, so link emails and email reminders can go out.

Host preferences

From the gear on the pre-join screen or in the call, each host sets their own defaults for all their sessions: waiting room on or off, confirm before ending, a timer (counting up or down), chat previews, camera and microphone, video quality, mirrored self view, background, noise suppression, and spacebar push-to-talk.

With the waiting room off, clients who ask to join are admitted automatically.

Plans and minutes

Telehealth, including group sessions, is on Pro and above. Usage is counted in participant-minutes: each person in the room, for each minute they are connected.

The pool is soft: a live visit is never cut off. Overage is invoiced with your other usage on the 1st. Your current count shows under your plan's usage as Video visits; see Understand usage and overages.

Security, in one paragraph

Media and chat are encrypted on every hop and processed only inside the video provider's HIPAA-eligible infrastructure, covered by FrontDesk's BAA. Rooms are created by the server for one appointment, capped at 16 people, and reachable only with a token issued after you admit someone. Join links are unique per client, hashed at rest, rotated when you resend, and expire after the visit. Nothing is ever recorded.

Frequently asked questions

How are telehealth minutes counted?
In participant-minutes: every person connected to the room counts for every minute they are in it. A 50-minute visit with you and one client is about 100 participant-minutes. A 50-minute group with you and five clients is about 300.
What happens when we use all the included minutes?
Nothing changes in the call — a live visit is never cut off. Extra minutes are billed as overage with your other usage on the 1st of the month: $0.08 per participant-minute on Pro, $0.02 on Elite. Heavy video users are better off on Elite.
Can I take the link out of the reminders?
Yes. Turn off "Include the link in appointment reminders" under Settings → Telehealth. You can still send links by hand from the appointment card. The 10-minute reminder for video visits has its own switch, "Send a reminder 10 minutes before".
Is there a telehealth consent form?
Two things cover it. The consent line on the join page, which the client agrees to before asking to join, is editable under Settings → Telehealth. For a signed form, send the seeded "Consent for Telehealth" intake template before the first visit.
