Set up email notifications

Before FrontDesk can email your patients, you verify a sending address under Settings → Email. Enter your practice email and name, confirm it by clicking the link SendGrid emails you, and optionally authenticate your domain (DKIM/SPF) for the best deliverability. Until a sender is verified, patient emails are paused. Email notifications are available on Pro and above.

Before FrontDesk emails your patients, you tell it who the mail should come from and prove you're allowed to send as that address. This keeps your reminders, receipts, and confirmations out of the spam folder.

Email notifications are available on Pro and above. On Free, patient email is off.

Open it from Settings → Email.

Verify your sending address

  1. Enter the email address patients should see mail from — use your own domain (e.g., hello@yourpractice.com), not a Gmail or Yahoo address.
  2. Enter the sender name (usually your practice name) and, optionally, a reply-to address.
  3. Add your mailing address — anti-spam law (CAN-SPAM) requires a real physical address in the footer.
  4. Click Verify. SendGrid emails that address a confirmation link.
  5. Open that email and click the link. Your status changes to Verified and patient emails start going out.

Free-mail addresses are blocked on purpose. Domains like gmail.com and outlook.com publish strict policies (DMARC) that make "send as" mail bounce or go to spam, so the verify button is disabled for them.

For the best inbox placement, authenticate your domain:

  1. Open the domain card and start setup.
  2. Add the CNAME records shown to your domain's DNS (at your registrar or host).
  3. Click Check records. DNS can take a few hours to propagate.

Once it's green, your mail is signed with DKIM/SPF — the strongest signal that it's really you. Domain authentication is available on Pro and above.

Test and monitor

  • Send a test email (available once you're verified) — it always goes to your own login email, so you can see exactly what patients receive.
  • View analytics for the last 7/30/90 days — sent, delivered, and opened counts, with bounces highlighted.

Good to know

  • Until a sender is verified, patient email is paused. Reminders, confirmations, receipts, and invoices won't send until this is set up.
  • It powers everything. Payments receipts and invoices and appointment reminders all use this sender.

Frequently asked questions

Why aren''t my patient emails sending?
Patient email is paused until you verify a sending address. Go to Settings → Email, enter your practice email and name, and click the verification link SendGrid sends you. Once it shows Verified, emails start going out.
Can I send from a Gmail or Yahoo address?
No. Free-mail domains like gmail.com and yahoo.com publish rules that make those sends fail or land in spam, so the verify button is disabled for them. Use an address at your own domain (for example, hello@yourpractice.com).
What is domain authentication and do I need it?
Domain authentication adds DKIM/SPF DNS records that prove you own your domain, which greatly improves inbox placement. It's recommended — add the CNAME records shown, then click Check records. It's available on Pro and above.
Which emails does this cover?
All patient-facing email — appointment reminders and confirmations, receipts and invoices, welcome messages, and more. They all send from your verified sender.
