Patients & Engagement
Manage patient records, recall lists, intake forms, reviews, and payments.
- Manage patient recordsThe Patients section is your practice's contact list and, for healthcare practices, the front door to each chart. Search by name, phone, or email; filter by Active, Inactive, New this month, or Discharged; add patients by hand or import them from a CSV or a SoftDent PDF. The quick-view drawer covers the essentials, and the full profile has tabs for Overview, Notes, Messages, Billing, Payments, Documents, and Records. Households group family members for booking and billing. Real patient records are archived, not deleted, to meet retention rules.3 min
- Review new patientsThe New Patients page surfaces everyone added in a recent window so nobody falls through the cracks after their first contact. See a per-day trend and a breakdown of where new patients came from (AI call, online booking, manual, and more), then work the list by status — Needs action for those still missing an onboarding step, Onboarded for the ones fully set up, or All new. Open any patient to review and finish their details. It's the fastest way to make sure first-time patients are fully captured.1 min
- Use recall lists to bring patients backThe Recall list shows patients who are due or overdue for regular care, based on their last appointment and each service's recall interval. Filter by how overdue they are, call them from the list, and log every outreach attempt with its outcome. It's one of the easiest ways to fill your schedule with patients you already have.2 min
- Send digital intake formsDigital intake forms let patients fill out medical history, consent, and insurance details on their phone before they arrive — no paper, no clipboard. Start from a template or build your own with the drag-and-drop editor, send it by SMS, email, or a shareable link, and review submissions in one place. Intake forms are a paid feature (Elite and above).1 min
- Collect patient reviewsThe Reviews tool sends a review request after an appointment and points patients to the platforms you care about — Google, Yelp, Facebook, and Healthgrades. Set a rating threshold so you route enthusiastic patients to public reviews, and track how many requests you send, your response rate, and your average rating.1 min
- Set up payments (connect Stripe)Before you can take patient payments, each location connects its own Stripe account. You do this under Settings → Billing → Payment methods (or from the Integrations catalog). Stripe walks you through a short verification — business details, an EIN, and the bank account for payouts — and each location shows a plain-English status like "Taking payments," "Finish setup," or "Stripe reviewing." Once it's green, payouts go straight to your bank and you can start collecting.2 min
- Take patient paymentsThe Payments page lists every patient payment for the location with its status, lets you record a payment or refund one, and shows collected, outstanding, and overdue totals with an aging breakdown. A second tab lists outstanding balances by patient with a Request payment button. On a patient's own Payments tab you collect by card, cash, check, or insurance, record a manual payment, send a payment link, build an invoice, or set up a payment plan. Owners and managers reconcile the day with Daily close on the Financial report.2 min
- Create and send superbillsA superbill is a reimbursement statement your out-of-network patients file with their own insurance. FrontDesk builds it from the charges on a patient's chart, covers the full treatment span by default (not just one month), and produces a PDF you can download or email. Enter your provider NPI and Tax ID once and the statement fills itself in.3 min
- Set up email notificationsBefore FrontDesk can email your patients, you verify a sending address under Settings → Email. Enter your practice email and name, confirm it by clicking the link SendGrid emails you, and optionally authenticate your domain (DKIM/SPF) for the best deliverability. Until a sender is verified, patient emails are paused. Email notifications are available on Pro and above.2 min
