Reports → Financial is the money view of the practice. It uses the same card style as the other reports, with its own period menu and a location selector when you have more than one location. Like the rest of Reports, it needs a Pro plan or above.
Scope and period
- Period: Today, 7, 30, or 90 days, this month, last month, this year, or a custom range (up to today, at most two years). Every number is paired with the same number for the previous period of equal length, so cards show the change.
- Location: the current location, or All locations to roll up every location you may see (only shown when your organisation has more than one).
- Days are counted in the practice's time zone.
The cards
| Card | Meaning |
|---|---|
| Charges | Production: fees on charges that are not void or draft, by visit date |
| Collected | Completed payments, by the date taken |
| Refunds | Refunds, by the date made |
| Net | Collected minus refunds |
| Open A/R | Unpaid balance on open charges |
| Collection rate | Net divided by charges |
Open A/R is always as of today, whatever the period. Adjustments (write-offs, discounts, courtesies) come from the adjustments ledger and appear in the digest email and the by-location export.
The sections
- Production and collections — bars for charges per period, a line for collected, dashed for refunds.
- Collections by method — card, cash, check, insurance, other, with counts and a bar each, plus how many refunds fell in the period.
- By provider — visits, charges, collected, net, average fee per visit, open A/R, and no-shows (the CSV adds refunds). A payment is attributed to the provider of its appointment, else the first invoice line's provider, else the charge on the same appointment; anything else lands on an Unassigned row that is always shown so totals reconcile.
- By service — count, charges, collected, and average fee per billing code or service.
- By location — the summary numbers per location, when viewing All locations.
- Open charges by age — open charges in 0–30, 31–60, 61–90, and 90+ day buckets, by provider or by client, as of today, with a link to the outstanding-balances work list on the Payments page.
- Payment plans — active, paused, and stopped plans, cash expected in the next 30 days, installments that failed recently, and the plans at risk. See Set up a payment plan.
- Daily close — its own date picker; chips per method with counts, refunds, and net; the card total to match your Stripe payout; and every transaction with time, client, method, amount, and who took it. The Payments page header has a Daily close link that lands here.
Export and email
- Export on any table downloads a CSV in dollars with a total row, named with the period and location. The Export menu at the top offers All financial tables.
- Email me this sends a weekly or monthly financial digest for one location to your inbox, with the same figures as the cards plus adjustments and visits. Periods with no charges and no payments are skipped. Turn it off from the same menu.
Good to know
- Voided charges and failed payments never appear in totals.
- Never captured a charge? The tab shows "No charges yet" with a link to set service prices; charges come from completed appointments with a price or a billing code.
- Each charge keeps the source of its fee, so revenue at grandfathered client rates can be told apart from practice prices. See Set client fees and rates.
- The call and booking reports are described in Understand your reports.
