Reports is the single page that answers "is my AI actually working?" — how many calls it answered, how many turned into appointments, and where you're losing people. Open it from Reports in the left navigation.
At the top you'll find a date-range dropdown (Today, Last 7 days, Last 30 days, Last 90 days) and a ⋯ menu with Export CSV and Email me this monthly. Everything scopes to the location you have selected.
Full Reports are included on Pro and above. On lower plans you'll see an upgrade prompt here, while the Dashboard keeps its at-a-glance numbers for everyone.
Overview tab
Four headline cards, each with a change vs. the previous period:
- Calls answered — total calls your AI handled.
- Appointments booked — with the share of calls that became a visit.
- New patients — first-time bookings.
- Calls missed — and whether any went to voicemail.
Below them, Calls per day charts your volume with business-hours and after-hours split out, and Where bookings came from breaks down your booking sources — AI phone calls, booked by staff, synced from Google, and your online booking page — so you can see what's driving your schedule.
Calls tab
Focused on phone performance:
- Calls answered — with an inbound vs. outbound split.
- Handled without staff — the share the AI resolved on its own, and how many it passed to a person.
- Average length — time on the phone per call.
- Ended early — callers who hung up mid-call.
What callers wanted ranks the reasons people called (booking, hours and address, insurance, general questions), and When calls come in is a busiest-hours heatmap. Together they show what to add to your knowledge base and when keeping the AI on after hours earns its keep. If the AI passed calls to staff, an attention card links you straight to review those calls.
Bookings tab
Focused on your schedule:
- Bookings — total, plus a per-working-day average.
- Kept — completed vs. total, with cancellations called out.
- No-shows — how many failed to arrive.
- Chair time booked — total hours across your providers.
What people booked ranks your services by volume, How full each provider's day is shows utilization and no-show rate per provider, and When appointments land is a booking heatmap. If any bookings arrived without a provider (usually via Google sync), an attention card helps you assign them so they show up on someone's day.
Export and schedule
Use the ⋯ menu to Export CSV of the current tab — handy for sharing with an accountant or an owner — or Email me this monthly to have the report land in your inbox at the start of each month.
Reading the numbers
- Rising "missed" on local numbers can signal an A2P/registration or forwarding issue — see My AI isn't answering calls.
- High call volume but a low booking rate usually means missing services or availability — check your appointment types and hours.
- Busy after-hours blocks in the heatmap are calls a voicemail would have lost — a strong case for keeping the AI on around the clock.
