Send documents to a client

From a client's profile, Send documents opens a three-step wizard: pick the documents (consents, scored measures, questionnaires, the demographics form and, when Stripe is connected, a card-on-file request), review the email, then Share & Send Now. The client gets one email with a Sign in to the Client Portal button (and a text when allowed), completes everything in the portal, and each item shows on the profile's Documents tab as Sent, Opened, Started or Completed. Settings → Documentation → Shareable Documents tracks every document you have sent across the practice, lets you download the locked PDF of a completed one, resend a reminder, or archive it, and holds the default intake package that goes out automatically when the AI books a new client. Reminders go out on their own every three days, up to three times, and never the day before a visit.

Paperwork goes out through the Client Portal, never as an email attachment. The Send documents wizard sends any mix of consents, questionnaires and scored measures to one client in a single message; Shareable Documents tracks everything you have sent and holds the package the AI sends on its own.

Send documents to one client

Open the client's profile and click Send documents (in the hero, the ⋯ menu, the Documents tab, or the green callout on a brand-new profile). The wizard has three steps:

  1. Choose documents. A banner confirms the client will receive Client Portal access; if they have no email, add it inline and click Save email, and if the portal is off you are pointed to Settings → Client Portal. Turn on Also send a text if you want a text as well as the email. Tick items under Consent documents, Scored measures, Questionnaires and Demographics and credit card forms (the demographics form, and a card-on-file request when Stripe is connected). Items in your default package and the demographics form start ticked; anything already waiting for the client is ticked and locked. Click Continue to Email.
  2. Compose Email. Edit the subject and body; placeholders like the client's first name, your practice name, the portal link and the document list fill in automatically. Save as my default keeps your wording for next time. Click Continue to Review.
  3. Review & Send. Check the list, then Share & Send Now.

The client receives one email with a Sign in to the Client Portal button, plus a text when you asked for one. In the portal the documents sit under Needs you; consents are signed with a signature field inside the form, and care plans or releases by typing the full name.

Track and remind

On the profile's Documents tab, Requested documents lists each item with its kind (Consent, Questionnaire, Scored measure, Demographics, Card on file), when it was sent, and its status: Sent, Opened, Started, Completed, Expired or Cancelled, with "reminded" and a date after a nudge. Remind sends one nudge covering everything open. Cancel on an open row stops its link and removes it from the client's to-do list; completed documents cannot be cancelled.

Reminders also go out on their own: every three days, up to three times per client, skipped when a visit is within 36 hours or when the client has Incomplete documents reminders turned off. Sending new documents starts the count over.

Shareable Documents across the practice

Settings → Documentation → Shareable Documents shows five totals (sent and outstanding, opened, completed, overdue, completion rate) and a Sent documents table for every client. Each row's menu offers View responses, Download locked PDF for completed documents, Resend reminder, and Archive or Restore; the Show archived switch reveals archived rows.

The default intake package

The same page holds your Default intake package. Turn on Send automatically when the AI books a new client and the package goes out through the portal the moment the AI books someone new, as one email and a text when allowed; a client without an email gets the first document as a text link. Tick AI sends on the documents that should go automatically. Also ask new clients to confirm their details in the portal adds a demographics check. Documents toggled on here are also pre-selected whenever you open the wizard from a profile.

Frequently asked questions

What does the client actually receive?
One email, not one per form, listing the documents with a green Sign in to the Client Portal button, sent from your verified practice address (or "Your practice via Front Desk" until you have one). If texting is allowed and you left Also send a text on, a short text with the link goes out too. In the portal the documents appear under Home and Documents → Needs you; finished ones move to On file.
Do the links expire?
Documents sent through the wizard do not expire. A single form sent from the Template Library's Send to patient button uses a link that expires after 7 days; a resend issues a fresh link.
Can I send the same document again?
Not while it is still open. Anything already waiting for the client shows ticked and locked ("already sent · waiting") in the wizard, and if everything you picked is already waiting you are told to send a reminder instead. Cancel the open one first if you truly need a fresh copy.
How do reminders work?
A daily job sends one combined nudge per client for everything still open, every three days counted from the send or the last nudge, at most three times; sending new documents starts the count again. It is skipped when the client's next visit is within 36 hours, when the client's Incomplete documents reminder switch is off, when your intake reminders are off, or when the portal is off. The Remind button on the profile sends the same message on demand.
How do I stop reminders for one client?
Open the client's profile, find the reminder and notification options, and turn off Incomplete documents. To stop them for the whole practice, turn off intake reminders in your intake settings.
Where are the signed documents?
On the client's profile under Documents → Requested documents, and across all clients under Settings → Documentation → Shareable Documents. A completed document can be downloaded there as a locked, read-only PDF from the row's menu. Consents are signed inside the form with a signature field; care plans and releases are signed by typing the full name, recorded with the date and time.
Why can I not send anything?
Two things are required: the client needs an email on file (the wizard offers a field to add one), and the Client Portal must be on under Settings → Client Portal. The wizard shows an amber banner naming which one is missing.
Can I make the AI send intake automatically?
Yes. Under Shareable Documents, turn on Send automatically when the AI books a new client and choose which documents in the default package the AI sends. They go out through the Client Portal the moment the AI books someone new; a client without an email gets the first document as a text link instead. You can also ask new clients to confirm their details in the portal at the same time.
Is there a file size limit?
Uploads inside a form are limited to 10 MB each, in JPEG, PNG, GIF, WebP or PDF. Nothing containing health information is ever attached to an email; everything goes through the portal.
