Confirm upcoming appointments

The Confirmations page shows the confirmation status of every upcoming appointment — confirmed, declined, pending, or no response — so you can see your day at a glance and act on the gaps. Automated reminders go out by SMS, email, or voice on the timing you set, and patients confirm by reply. You can also confirm, reschedule, or waitlist any appointment by hand.

The Confirmations page tells you, at a glance, which of your upcoming appointments are locked in and which still need a nudge — so you can fill or reschedule the gaps before they become no-shows.

Open it from Schedule → Confirmations.

Read the board

Four summary cards at the top double as filters:

  • Pending — reminder sent, awaiting a reply
  • Confirmed — the patient confirmed
  • Declined — the patient can't make it
  • No response — no reply yet

Click any card to filter the table below. You can also filter by date range (today, tomorrow, this week, or all upcoming) and search for a specific patient.

Automated reminders

Most confirmations happen on their own. Open Settings on the page to configure reminders:

  • Channels — SMS, email, and voice calls
  • Timing — how far ahead each reminder goes out (for example, 24 hours before)
  • Templates — the message wording
  • Confirmation keywords — what a patient can reply to confirm

When a patient replies to confirm, their appointment flips to Confirmed automatically. Use Trigger reminders to process any that are due right now.

Handle each appointment

From the actions menu on any row you can:

  • Confirm or Decline manually
  • Send reminder on demand
  • Reschedule to a new date and time (the patient is notified)
  • Add to waitlist — great for a decline you'd like to backfill
  • Reset to pending

Export

Use Export to CSV to download the current view — patient, contact, date, time, service, provider, status, and reminders sent — respecting your active filters.

Good to know

  • Appointments needing confirmation also appear in Tasks.
  • Backfill declines from the waitlist so an opening doesn't go to waste.

Frequently asked questions

How do patients confirm an appointment?
When a reminder goes out by SMS, email, or voice, the patient can confirm by replying. Their appointment then shows as Confirmed on the Confirmations page. You can also mark it confirmed by hand.
What''s the difference between this and reminders?
Reminders are the messages that go out; the Confirmations page is where you see and manage the results — who's confirmed, who declined, and who hasn't responded — and take action on each.
Can I send reminders by voice call?
Yes. Alongside SMS and email, you can enable voice reminders that call the patient with your message on the timing you choose.
What can I do with a declined appointment?
From the row actions you can reschedule it, add the patient to the waitlist, send another reminder, or reset it to pending.
