Use the appointments list

Schedule → Appointments shows visits as a table you can filter, export and assign. Status pills (All, Confirmed, Pending, Cancelled) show counts for the range; the date menu picks Today (the default), This week, This month or All dates; the provider menu picks All Providers, Unassigned or one provider; search finds a client by name or phone. Tick rows, then Assign to, choose a provider and click Assign to give them all to that provider. The ⋯ menu has Export CSV (the rows on the page you're viewing), Upload CSV and Refresh. Upload CSV adds visits from a file with the columns patientName, patientPhone, appointmentDate, appointmentTime and appointmentType; they arrive as Pending, with no provider and not linked to client charts. Book appointment opens the Calendar.

Schedule → Appointments shows the same visits as the Calendar, as a table. Use it to find visits, fix unassigned ones in bulk, and get them in and out as CSV.

Read the list

The header shows how many appointments are in the range and how many are pending confirmation. Each row has the Date, Time, client, Type (the service), Provider, Status and Source (AI, Online, Phone, Manual, CSV, Athena, Google, iCal, Feed or Fusion). The eye icon at the end opens the client's details.

Filter it

  • Status pills: All, Confirmed (confirmed and completed visits), Pending and Cancelled, each with a count for the date range and provider you picked.
  • Date menu: Today (the default), This week, This month or All dates. Days follow the location's time zone. If today is empty and you haven't changed any filter, the list switches to This week when the week has visits.
  • Provider menu: All Providers, Unassigned (visits with no provider) or one provider.
  • Search patient or phone: finds a client by name or phone number.

Assign visits to a provider in bulk

  1. Filter the list, for example Unassigned and This month.
  2. Tick the rows you want. The box in the header ticks every row on the page.
  3. In the bar that appears, choose a provider under Assign to and click Assign. Clear unticks everything.

Each visit is changed as if you edited it on its own: its price follows the new provider (unless someone typed the fee by hand, or the visit is completed), and a provider who doesn't work at the visit's location is refused. The message says how many were assigned ("Assigned 12 appointments to Dana Lee") and, if any couldn't be, how many and why. A new page or filter starts with nothing ticked.

Export to CSV

⋯ → Export CSV downloads the rows on the page you're looking at as appointments-YYYY-MM-DD.csv, with Date, Time, Patient, Type, Provider, Status and Source. To export more at once, raise the rows per page at the bottom of the table (up to 100). For a complete copy of your records, see Export your data.

Upload appointments from a CSV

⋯ → Upload CSV opens Upload Appointments. Click Select CSV File, pick the file, and click Upload.

The file needs a header row with these columns:

ColumnWhat goes in it
patientNameThe client's name (required)
patientPhoneTheir phone number (required)
appointmentDateThe day, as YYYY-MM-DD
appointmentTimeThe time, such as 14:30 or 2:30 PM
appointmentTypeThe service; "General" when blank
durationOptional: minutes, 30 when blank
providerNameOptional: the provider's name as text

Each row becomes a Pending appointment at the current location, with CSV as its source. Rows without a name or phone are skipped. The upload doesn't link visits to client charts or assign a provider (they show under Unassigned), and it doesn't check for clashes. To move a whole practice over from SimplePractice, use the SimplePractice import instead; for an iCal file, use Import calendar on the Calendar's ⋯ menu.

Good to know

  • Book appointment opens the Calendar, where visits are booked.
  • Refresh in the ⋯ menu reloads the list.
  • On a phone, the filters are chips above the list, and Export CSV and Upload CSV are in the page's menu.
  • View-only access: a teammate with view-only access at the location can look and export, but can't upload or assign.

Frequently asked questions

How do I export all my appointments?
On Schedule → Appointments, set the date menu to All dates (or the range you want) and pick any status and provider filters. Export CSV in the ⋯ menu downloads the rows on the page you're looking at, so first raise the rows per page at the bottom of the table (up to 100) and export each page. The file has Date, Time, Patient, Type, Provider, Status and Source. For a full copy of your records, use Settings → Data export.
How do I assign unassigned appointments to a provider?
On Schedule → Appointments, set the provider menu to Unassigned to list visits with no provider. Tick the rows (the box in the header ticks the whole page), choose a provider in Assign to and click Assign. Each visit is changed as if you edited it: its price follows the new provider (unless someone typed the fee by hand, or the visit is completed), and a visit at a location where that provider doesn't work is refused. The message says how many were assigned and why any couldn't be.
What columns does the appointments CSV upload need?
A header row with patientName, patientPhone, appointmentDate, appointmentTime and appointmentType. Use YYYY-MM-DD for the date and a time like 14:30 or 2:30 PM. You can add duration (minutes, 30 if left out) and providerName, which is kept as a note and doesn't assign the provider. Every row needs a time: one blank time makes the whole upload fail. A row without a name or phone is skipped, and a blank appointmentType becomes "General".
Do uploaded appointments link to my clients and providers?
No. Upload CSV saves each row as a Pending appointment with the name and phone from the file, marked CSV in the Source column. It doesn't link the visit to a client chart or assign a provider, so uploaded visits show under Unassigned; use Assign to to give them a provider. To bring clients and appointments over from SimplePractice, use the SimplePractice import instead.
Why does the list show This week when I opened it on Today?
When nothing is booked today and you haven't touched the filters, the list switches itself to This week if there are visits this week. Pick Today again from the date menu to go back.
Who can use the appointments list?
Anyone on your team who can see the location's schedule. A teammate with view-only access at that location can look and export but can't upload or assign. Assign to only appears when the location has active providers.
