Quick Call is FrontDesk's dialer. Use it to ring a client yourself through your browser, or to have the AI make the call for you. Caller ID and which minutes each call uses are covered in Caller ID and outbound calling.
Open Quick Call
- Click the phone button in the top bar (Make a Call).
- Or click Call back on a task, or the call button on a client's chart, the waitlist or Confirmations: Quick Call opens with their number filled in.
Esc closes it. With the dialer open you can also type digits, *, # and + on your keyboard, use Backspace, and press Enter to call.
Call yourself or have the AI call
At the top, choose who talks:
- Call Myself: you talk, through your computer's microphone and speakers. Allow microphone access the first time.
- AI Agent Call: the AI places the call and has the conversation.
Then pick the From Number, the FrontDesk number the client sees. With no number yet, the list offers + Get my free number.
AI Agent Settings
With AI Agent Call selected, open AI Agent Settings (it shows the voice and purpose you've picked):
- Voice Agent: the voice the AI uses. Click the play button on a voice to hear it, or Manage agents to open Receptionist → AI Voice.
- Call Purpose: what the call is for, such as General, Confirmation, Recall or Follow-up. Hover over one to see what it does.
For a confirmation call to a client with visits still waiting on confirmation, Confirming appointment lets you choose which visit the AI calls about (the soonest is picked for you). With none, it says "No upcoming appointments. The AI will confirm details on the call."
AI calls use AI minutes and need a paid plan. They aren't placed before 8am or after 9pm in the client's time; you see the client's local time instead.
Pick who to call
Type the number on the dial pad, or use the tabs on the right:
| Tab | What's there |
|---|---|
| Recent | Your recent calls. Play a recording, or click the star to add the number to Favorites (click a filled star to remove it). |
| Favorites | Numbers you starred. Click the star to remove one. |
| Contact | Search by name or phone... across your clients. |
| Tasks | Calls waiting to be made: recalls due or overdue, visits in the next week still waiting on confirmation, and missed calls from the last 7 days not yet followed up. |
On the Tasks tab, each call is labelled Recall, Confirm or Follow-up, with the most urgent first. Clicking one (or its phone button) fills in the number and links the call to that task. Skip task takes it off the list for now without completing it.
If a client's number on file has an extension, the dial pad shows it after the number ("ext. 12"), and FrontDesk dials the extension once the line answers.
Click the green call button to dial.
During the call
For a call you place yourself, Quick Call shrinks to a bar so you can keep working; click it to open the full panel again. An AI call keeps the panel open with a live transcript ("Listening for the conversation…" until someone speaks).
| Control | What it does |
|---|---|
| Mute / Unmute | Mutes your microphone. Calls you place yourself only. |
| Hold / Resume | Puts the other person on hold with your hold music. Calls you place yourself only. |
| End Call (red) | Hangs up. On an AI call, it tells the AI to hang up. |
| Contact | Opens the client's chart, when the number matches a client. |
If FrontDesk can't hang up an AI call, the panel says "Couldn't end the call. Try again." with Close anyway (the call may still be running).
After the call: How did the call go?
When the call ends, choose an outcome under How did the call go?: Scheduled, Declined, No Answer, Voicemail, Callback or Other. It's saved on the call in Call Logs so your reports see it.
Send SMS Follow-up appears once your number is registered for texting. Choosing an outcome fills in a matching message, which you can edit. Templates offers Appointment Confirmed, Missed Call, Voicemail Left, Callback Requested and General Thank You. Click Send and you'll see SMS Sent Successfully.
Click Save & Close (it reads Skip until you pick an outcome).
Calls from the Tasks tab complete the task
If you started the call from the Tasks tab in Quick Call, Save & Close (or Skip) also completes that task and shows "Task completed":
| Task | Outcome | Result |
|---|---|---|
| Confirm | Scheduled | The visit is marked confirmed. |
| Confirm | Declined | The visit is marked declined. |
| Confirm | Anything else, or Skip | Counted as no response, and the call attempt is recorded. |
| Recall | Scheduled | The client is marked scheduled on the recall list. |
| Recall | Anything else, or Skip | The client is marked contacted, and the call is added to their recall history. |
| Follow-up | Any | The missed call is marked followed up. |
Hold Music
Settings → Phone & SMS → Calls, Hold Music: "What callers hear when you put them on hold from the FrontDesk app." Choose Ambient (default), Cellular, Electronic or Soft Rock, click Preview to listen, then save. All tracks are royalty-free and licensed for use on your calls.
The Hold Music card is shown when Who answers is set to something other than AI receptionist, because that's when your team takes calls. See Set call routing and forwarding.
