Your account settings are four items in the Settings menu: Profile and security, Notification preferences and Assistant (in the Profile group), and Practice details (in the Practice group). They used to be tabs on one Account page; old links to those tabs open the right page.
Profile and security
Settings → Profile and security holds your personal details, which affect only your login:
- Photo: click the camera badge on your picture to upload and crop a photo (JPEG, PNG, GIF or WebP, up to 5 MB). Until you add one, your initials are shown.
- Full name and Phone number: edit them in place. Changes save when you click away from the field.
- Email: click Change beside your email address. The Change Email Address dialog asks for the new address and your current password, and sends a verification link to the new address that expires in 24 hours. A notice also goes to your old address. The change takes effect when you click the link, and your organization's billing email changes with it.
- Password: click Change password. Enter your current password, then the new one twice. It needs at least 8 characters, with an uppercase letter, a lowercase letter and a number. Saving signs you out of every session on every device and emails you a confirmation. The row shows when you last changed it.
Practice details
Settings → Practice details holds the practice's shared details, the same for everyone in the organization. Only the account owner or an admin can change them. Everyone else sees them read-only, with the note "Only the account owner or an admin can change the practice details."
- Logo, Organization name, Website and Industry
- Billing details: Billing email, Billing address, Tax ID (EIN) and Organization NPI (Type 2), both printed on superbills
- Business Associate Agreement (healthcare practices only): who accepted it and when, with View to open the receipt. See Sign your BAA.
Notification preferences and Assistant
- Settings → Notification preferences: what you're alerted about and how, plus sounds. See Notification preferences.
- Settings → Assistant: your preferences for the in-app Setup Assistant. See Use the in-app Setup Assistant.
Close the account
There are two different things you can do:
- Stop paying: cancel your subscription under Settings → Billing (see Cancel your subscription).
- Close the account: only the account owner can close it. Export what you need first (see Export your data). Then open the Accounts page: in the location switcher choose All accounts, or go to app.frontdesk.care/accounts if your login has only one account. On the account's ⋯ menu, choose Close account….
Close account… takes three steps: What happens, Why and Confirm. To confirm, you type the account's name, enter your password and tick the box. When it closes:
- Calls and texts on its numbers stop. Online booking, web chat, the client portal, intake forms and payment links stop working, and your team loses access.
- Providers' calendar feeds come back empty, so client names leave the calendar apps that subscribed to them.
- A paid plan is cancelled at the end of the current period, with no refund for that period. Usage over your allowance and phone-number fees for the period go on a final invoice.
- Every record is kept for as long as medical-record law requires. You can download all of it from the closed account's page.
- Phone numbers are held for 90 days so you can move them to another provider, then released.
- Only FrontDesk support can reopen a closed account.
If an ownership transfer is waiting to be accepted, cancel it first. The same ⋯ menu has Transfer ownership… if someone else should own the account instead. Team members who aren't the owner see Leave account there.
